Notion + Calendly + Fathom, without the hand-paste

Independent consultants already have a stack: Calendly for booking, Fathom for the call, Notion for the client file. The break is the ten minutes after hang-up, copying title, date, summary, and recording URL into that client’s Sessions database.

The workflow people already teach

Operators Weekly walked through a consultant setup that keeps Calendly, Fathom, and Notion in the same day. Notion still has no native Fathom or Calendly connector in that writeup. Read it: Notion + Calendly + Fathom for consultants.

Their honest gap is the Sessions row. After Fathom finishes the notes, someone still opens the client page and pastes. That is exactly the job Zapier is sold for, and exactly the job most solo consultants do not want another monthly account for.

Replace only the paste, not the stack

  1. Calendly still owns booking. Sessary never touches your scheduler.
  2. Fathom still records and summarizes. Do not ask a second AI to rewrite the notes.
  3. Notion still holds the client page and a Sessions database underneath it (or one Sessions database filtered by client).
  4. Sessary is the pipe: Fathom webhook → the Sessions database you shared, with your properties.

Duplicate a ready-made Consultant Sessions database if you do not already have one: Sessary Notion templates. Typical columns: Title, Date, Client, Summary, Actions, Recording.

A realistic morning

Three discovery calls. Fathom posts notes a few minutes after each one. Without a pipe, you hunt Client A, paste, hunt Client B, paste, then a third call lands while you are writing a proposal. The failure mode is not “I cannot copy.” It is “I filed this under the wrong client.”

Point Sessary at that client’s Sessions database. Map Title, Date, Attendees, Summary, Action items, Recording URL. After the next Calendly-booked Fathom call, the row is already there. Open Notion from the Sessary dashboard if you want to check. Then go back to the proposal.

One connection currently writes to one database. If you keep a separate Sessions database per client, pick the one you use most for the trial, then change the mapping when you rotate retainers. Multi-destination routing is not this version. Wrong-client risk is still lower than a single Zapier dump, because you chose the library on purpose.
